    Our New York office is seeking a Project Administrator to join our team.

    Responsibilities

    • Translates written and verbal correspondence in Japanese and English (i.e. email, meeting notes, etc.)
    • May travel with Project Leader to project meetings to assist with meeting notes and other documents requiring translation
    • May attend client meetings to take meeting minutes and prepare for distribution.
    • Under direction of the project manager, collaborates with various staff and departments in administrating project reporting requirements.
    • Manages project filing system, both electronic and paper, and assists with document tracking progress.
    • Serves as a contact for transfer of files, documents, drawings with external consultants and clients; manages distribution of these to the team.
    • Under direction from the project manager, schedules and coordinates project meetings.
    • Performs word processing and data entry, as required.
    • Takes personal responsibility for fostering a green workplace through sustainable work practices.

    Qualifications

    • Equivalent of a Bachelor’s degree in related field and 2 years related experience.
    • General knowledge of architectural and construction terminology.
    • General knowledge of building design or urban design practice
    • Demonstrated experience writing, reviewing and distributing memoranda and meeting notes for building design or urban design projects.
    • Must be bilingual in Japanese and English with proficient written and verbal communication skills.
    • Proficiency in MS Office, including Word, Excel and Outlook.
    • Must be detail-oriented and able to handle confidential information at the highest level.
    • Ability to communicate both verbally and in writing; including excellent interpersonal skills.
    • Ability to work in team environment.
    • Ability to effectively meet deadlines.
